Pooled Storage: Streamlining Organizational Quotas

Over recent years, Google implemented pooled storage across all paid Google Workspace tiers. Rather than isolating fixed individual storage ceilings for each seat (such as 15 GB per user), pooled storage aggregates an organization’s cumulative capacity into a single unified shared quota across Google Drive, Gmail, and Google Photos. This model grants administrators granular control while preventing arbitrary per-seat limits from blocking individual heavy users.

Beginning May 1, 2025, Legacy Free G Suite domains will automatically migrate to this pooled framework. Domain administrators will be able to audit aggregate organizational consumption directly from the Storage dashboard within the Google Admin Console.

Zero Extra Fees and Preserved Storage Capacity

Google explicitly confirmed that this rollout will not diminish an organization’s aggregate storage allocation, nor will it incur transition fees. The total available gigabytes across your active users are aggregated into a shared organization-wide pool, allowing lightweight users to subsidize heavy contributors without triggering quota errors.

Capacity Add-On Options

Should an organization require storage beyond its historical allocation, Google provides modular expansion add-ons. Administrators will be able to purchase additional shared storage in 100 GB or 1 TB increments at competitive rates directly through the Admin Console.

Preparation Checklist for Domain Administrators

As the May 1 cutoff approaches, domain administrators should audit their infrastructure:

  1. Review aggregate utilization across Drive, Gmail, and Google Photos in the Admin Console.
  2. Identify disproportionate storage consumers and establish internal data archiving conventions.
  3. Configure administrative quota caps for specific Organizational Units (OUs) if necessary.
